NetHunt CRM Integration

The NetHunt integration lets your AI sales assistant write qualified conversations into NetHunt CRM, the CRM that lives inside Gmail. During a chat the assistant creates a lead or a deal record, finds or creates the matching contact by phone and links it, sets the record's status, and leaves a link back to the conversation.

What your assistant can do

ActionWhat happens
Create a leadCreates a record in your leads folder with the customer's name, phone, source AI-<assistant name>, a Chat Link to the conversation, the status and any field you enabled. The contact is found by phone in your contacts folder, or created, and linked to the lead.
Update the leadUpdates the lead the assistant created for this customer earlier, for example a new status or details the customer added later.
Create a dealThe same as a lead, in your deals folder.
Update the dealUpdates the deal the assistant created for this customer earlier.
Add or update the contactFinds the contact by phone in your contacts folder, or creates it, and saves the customer's name and phone in MyChatBot. It can also link the contact to the lead or deal the assistant created earlier.

When the assistant creates a lead or a deal, or updates a lead, it also mirrors the status it sets into the customer's funnel status in MyChatBot, so your MyChatBot lead list stays in step with NetHunt. Updating a deal changes the status in NetHunt only.

What data the assistant sees and writes

  • Reads: your folder list, the fields of your leads and deals folders, and recent records (to find a contact by phone and to learn which status values exist).
  • Writes: new lead and deal records, updates to the records it created, and contacts in your contacts folder.
  • Fields: only the fields you tick under Entities & Data Fields Configuration, plus the name, phone, source, contact link and Chat Link that every record gets.

Get your NetHunt credentials

  1. In Gmail with NetHunt enabled, open NetHunt Settings.
  2. Go to Apps and other integrations and click Generate API key. Copy the key.
  3. Note the email address you sign in to NetHunt with. MyChatBot uses it as the username.
  4. Note the exact names of the folders where leads and deals should go, for example Leads and Deals.

Connect NetHunt in MyChatBot

In the app

Go to Integrations — app.mychatbot.app/integration?integration=NetHunt. Pick the assistant in the header dropdown first.

  1. Select the assistant you want to connect.
  2. Under Available Integrations → CRM Systems, pick NetHunt.
  3. Fill in the form:
    • NetHunt API Key — the key from step 2.
    • NetHunt Username — your NetHunt sign-in email.
    • Leads Folder — optional; leave empty to use a folder called Leads.
    • Deals Folder — optional; leave empty to use a folder called Deals.
  4. Click Submit.

Folder names are fixed once you connect

After you submit, the form fields are locked. To point the assistant at different folders, delete the integration and connect again with the new names.

MyChatBot doesn't test the key when you submit. If the key or email is wrong, you'll find out the first time the assistant tries to create a record, so run the test below straight away.

Set it up

Entities & data fields

  1. Under Entities & Data Fields Configuration, open the Leads or Deals tab and turn the entity on.
  2. Tick the fields the assistant may fill. Most used custom fields are fields used in your records over the last few days; the rest are under Other custom fields.
  3. Turn on Lead Phone Required or Deal Phone Required if every record must have a phone number.
  4. Click Apply fields.

NetHunt fields arrive as plain text: the assistant isn't given a list of allowed values for a dropdown field, so name the values you expect in its instructions.

Prepare your NetHunt folders

The assistant uses these names unless your instructions say otherwise:

WhatDefault name
Contacts folderContacts, with fields Name and Phone
Lead or deal name fieldName
Lead or deal phone fieldPhone
Source fieldSource
Link to the contactContact person
Link to the conversationChat Link (fixed)
StatusStatus (fixed)

If your workspace uses different names for the contacts folder, name, phone, source or contact-link fields, list them in the assistant's instructions (see below). The Chat Link and Status field names can't be changed: add a Chat Link field and a Status field to your leads and deals folders so the link back to the conversation and the status have somewhere to go.

Guide the assistant

When a customer shares their name and phone and is interested, create a lead in NetHunt
with status "New".

When the customer agrees to buy, create a deal with status "Negotiation".

NetHunt structure: contacts folder "Clients" (name field "Full name", phone field "Mobile");
in leads and deals the contact link field is "Client".

Test it

  1. Message the assistant on any connected channel, give a name and phone number, and ask to be contacted.
  2. Check your leads folder in NetHunt: a new record should appear with source AI-<assistant name> and a Chat Link.
  3. Check the contacts folder: the contact should exist once, linked to the lead.

Limits and requirements

  • PRO plan or higher is needed to connect.
  • One CRM per assistant. While NetHunt is connected, the other CRM systems are grayed out for that assistant.
  • Every field you tick is required when the assistant creates a record. Tick only what it can realistically collect in a chat.
  • Status values must already exist. The assistant learns valid statuses from the Status field of recent records in your leads folder. A status nobody has used yet is rejected, and the assistant is shown the valid list.
  • Contacts are matched by exact phone number among recent contacts. A differently formatted number for the same person creates a second contact.
  • Updates need an earlier record. The assistant updates the lead or deal it created for this customer; it doesn't search NetHunt for older records to edit.
  • No pipelines and no webhooks. NetHunt has no pipeline picker in MyChatBot, and changes you make in NetHunt don't flow back automatically.
